OverviewCIMMYT is a cutting edge, non-profit, international organization dedicated to solving tomorrow's problems today. It advances production systems and basic crops such as maize, wheat, triticale, sorghum, millets, and related crops through applied agricultural science, focusing on the Global South and building strong partnerships. This position is for an outstanding, self-motivated, and result-oriented professional for the role of Executive Assistant to the Chief Engagement Officer (CENO), to work in the Engagement Chapter. The Engagement Chapter consists of Communications and Donor and Fundraising Services, in collaboration with Leadership and Executive teams. The location of this position will be CIMMYT’s headquarters in Texcoco, near Mexico City. ResponsibilitiesAssist and provide support to the Chief Engagement Officer (CENO) in overseeing the day-to-day operations of the Engagement Chapter, ensuring that all departments function efficiently and effectively. Support the CENO in all administrative matters relating to the Engagement Chapter. Plan, coordinate, and communicate: maintain the CENO’s schedule, arrange internal/external meetings, and prepare for meetings as needed. Manage the CENO’s routine correspondence, track key inquiries, file information, and route or delegate mail as necessary. Organize travel arrangements for the CENO, including airline tickets, hotel reservations, and creating/maintaining a travel schedule; manage reimbursements and expenses. Initiate and manage the CENO’s budget preparation and related activities. Prepare presentations and documents in English with accuracy, consistency, and effective communication. Organize and coordinate meetings led by the CENO for the Engagement Chapter and other relevant groups; prepare pre-study materials and documents for participants. Facilitate internal communication within the Engagement Chapter and with other chapters to enhance coordination and collaboration; manage contracts and payments for consultants and interns where applicable. Coordinate with departments in the Engagement Chapter to align operations with strategic goals and ensure smooth functioning. Monitor and track follow-up actions within the Engagement Chapter and respond to Leadership, Executive, or DG requests from the CENO. Provide regular reports on the status of ongoing activities and follow up on action items; ensure timely completion of tasks and maintain a log of follow-up items. Conduct research or information-gathering as needed. Handle confidential matters with utmost discretion and provide support on confidential projects and initiatives. Draft and prepare documents for the CENO and support ongoing communication efforts. Troubleshoot basic operational (e.g., IT) issues and coordinate with relevant support areas when necessary. QualificationsBachelor’s degree in Public Administration, Business Administration, or a related field. An MBA in a related field is an advantage. Advanced level of English (written and conversational); English will be tested with a minimum score of C1 on CEFR. Strong service orientation with a sense of urgency, and excellent analytical and problem-solving skills. Excellent organizational, time management, resource management, prioritization, coordination, communication, and problem-solving abilities. Excellent communication and stakeholder engagement skills. Familiarity with the International Organizations/NGO sector and multicultural environments. Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook); familiarity with Microsoft Dynamics 365 is helpful. Ability to troubleshoot basic IT and coordinate with support areas as needed. Competencies: Critical thinking, teamwork, client orientation, problem solving/decision making, negotiation, and conflict resolution. Ability to handle confidential information and maintain discretion. LocationTexcoco, near Mexico City, CIMMYT headquarters.
