As Executive Assistant to the CEO, you will be an indispensable partner who ensures the seamless management of both professional and personal domains. In this dynamic role, you will orchestrate complex calendars, oversee expense tracking, and drive accountability across the team by monitoring task completion and project progress. You will coordinate meetings, appointments, and travel, while preparing concise reports that keep priorities clear and actionable.Your day-to-day will include organizing emails, managing financial records, and supporting household logistics such as boat maintenance and home staffing. By leveraging an array of digital tools, including Microsoft Office Suite, Quicken, Dynamics, and CRM systems, you will keep operations running smoothly, allowing the CEO to focus on strategic initiatives.Your contribution goes beyond logistics; you will curate key decision reports, monitor business processes, and proactively connect with team members and partners to foster a network of business relationships. A commitment to personal and professional growth is valued here, each month, you’ll engage with resources that sharpen your skills, expand your perspective, and fuel your development as a trusted advisor and operational linchpin within the organization.Key ResponsibilitiesAdministrative & Calendar Management· Manage and organize both personal and business emails, including sorting, responding, and filing as needed.· Schedule and coordinate a variety of calendar items, including webinars, private dinners, health appointments, and family events.· Prepare daily task reports summarizing completed items and upcoming priorities.· Schedule meetings and follow-ups, confirm attendance, and prepare briefing notes at least 12 hours in advance.· Assist in managing the calendar, sending reminders, preparing meeting notes, and attending meetings to record action items and track follow-up. Financial & Expense Oversight· Categorize all personal and company expenses using Quicken and other financial tools.· Prepare monthly expense reports and end-of-month financial summaries.· Track and manage budgets for both personal and company accounts.Personal & Household Coordination· Schedule and follow up on boat maintenance and repairs.· Coordinate with home cleaning staff and ensure adherence to established playbooks.Project & Process Support· Take meeting notes and update the CRM as needed.· Track day-to-day tasks using internal systems, ensuring accountability across all teams.· Gather facts and prepare decision-support reports ahead of meetings.· Respond to follow-up emails related to IT business process reviews and confirm work completion.Education Degree in Communication, Accounting, or Business Administration is a plus Ideal Candidate Profile· Highly organized and detail-oriented.· Strong written and verbal communication skills.· Comfortable with CRM systems, calendar tools, and financial software.· Able to manage multiple priorities and work independently.· Experience in executive support, operations, or project coordination is preferred.Tools You’ll Use· Microsoft Outlook, One Note, Teams, SharePoint, Planner, Quicken, Dynamics, Trainual, PowerApps, and other automation toolsPersonal & Professional Growth ChallengeI will also challenge you to read or listen to one book each month focused on self-development, growth, organization, business, or related topics.
