Virtual Assistant (Project Management Focus) at Call Center DoctorsPowering Growth, One Call Center at a TimePay is $12/hr USD to start. Need someone to start immediately. You will be pivotal in optimizing workflows, documenting tasks, and enhancing processes to ensure flawless execution every day.Core Responsibilities1. Executive & Administrative Support:Manage the CEO's and executive team's calendars, schedule meetings, and coordinate travel arrangements.Act as a gatekeeper for calls, emails, and messages, prioritizing urgent matters.Prepare meeting agendas, take detailed minutes, and track action items for follow-up.Draft internal and external communications, presentations, and reports.Organize and maintain confidential company documents and files.2. Project Management & Operations:Assist with high-priority projects, including call center build-outs, CRM integrations, and recruiting initiatives.Coordinate with department heads to ensure deadlines are met and workflows are efficient.Monitor KPI dashboards and compile performance reports for executive review.Support process improvement initiatives by identifying inefficiencies and suggesting solutions.3. Recruiting & HR Coordination:Oversee the hiring pipeline by coordinating interviews, screening resumes, and tracking candidates.Manage onboarding tasks for new hires, including documentation and training coordination.Maintain and update the HR database with employee records and performance metrics.Support payroll preparation and approval processes.Who We’re Looking ForRequired Qualifications:Experience: Minimum 3-5 years in a Virtual Assistant, Executive Assistant, or Project Management role, ideally in a fast-paced, high-growth environment.Project Management: Strong background in managing complex projects, ideally using Scrum, Agile, or similar methodologies.Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management tools such as ClickUp or Asana. Familiarity with CRM platforms is a plus.Communication Skills: Exceptional written and verbal communication skills, with the ability to interact professionally with executives, clients, and team members.Organizational Skills: Extraordinary multitasking, prioritization, and time management abilities, with a keen attention to detail.Problem-Solving: Analytical and proactive with a knack for anticipating needs and solving challenges.Confidentiality: Proven ability to handle sensitive information with discretion and integrity.Adaptability: Thrives in a dynamic, evolving environment with shifting priorities.Additional Requirements:Tech Setup: Must have access to a high-powered PC (minimum 32GB RAM, fast processor) and a high-quality headset.
