Job SummaryThe Logistics Specialist is responsible for overseeing and supporting the daily movement of logistics loads, ensuring timely and accurate reporting, and maintaining effective communication with carriers to ensure efficient transportation operations. This role involves real-time tracking of load statuses, managing T-reports, reviewing detention requests, and generating daily execution reports. The Logistics Specialist collaborates closely with Logistics Planners to identify and resolve discrepancies or issues related to tracking and delivery schedules.Key ResponsibilitiesLoad Tracking and Reporting: Monitor and update the progress of shipments throughout the day, maintain accurate status documentation, and coordinate with carriers to confirm estimated arrival times (ETAs).Daily Reporting: Prepare and distribute a daily execution report summarizing all active loads, with a clear indication of completed and failed deliveries.T-Report Management: Regularly review and update T1, T2, T4, and T5 reports, recording any late pickups or deliveries with documented reasons and revised dates.Detention Review: Evaluate and approve or decline detention requests to ensure timely compensation for delays.Invoice and POD Monitoring: Track Proof of Delivery (POD) submissions and carrier invoices, ensuring timely and complete documentation.Carrier Communication: Distribute status updates to carriers two to three times per week, detailing outstanding PODs and unpaid invoices.Exception Management: Assist in weekly reviews of out-of-tolerance shipments to identify and resolve inconsistencies.Month-End Reporting: Process and submit end-of-month invoices and collaborate with internal teams to address and close any outstanding issues.Process Improvement: Support process enhancements in collaboration with carriers to improve efficiency in tracking and communication.Tools and Software:Required Platforms: Proficiency in Excel, Mercury Gate, Outlook, and Microsoft Teams.Education & Qualifications:Education: Basic computer literacy required, including training in Microsoft Excel and email management.Experience: Prior experience in logistics or freight management is advantageous but not mandatory.Technical Skills: Proficient in using Excel, email platforms, and shipment tracking tools such as Mercury Gate.Interpersonal Skills: Strong verbal and written communication skills; able to collaborate effectively with carriers and internal teams while managing multiple priorities with patience and attention to detail.Problem-Solving: Demonstrated ability to identify and resolve issues proactively, while maintaining accuracy in tracking and reporting.Team Collaboration: Proven ability to work effectively with Logistics Planners and cross-functional teams to ensure smooth execution of shipments.Accountability and Initiative: Self-motivated and detail-oriented, with a strong commitment to timely and accurate load monitoring.Working ConditionsOccasional extended hours may be required to verify late estimated arrival times (ETAs) or resolve unexpected last-minute issues.Key Performance Indicators (KPIs)Tracking Accuracy: Daily tracking reports must be comprehensive, precise, and exhibit minimal discrepancies.Timeliness in Detention and Invoicing: All detention requests should be processed promptly, with PODs entered within 24 hours and invoices submitted within five business days.Carrier Communication: Maintain proactive communication with carriers to prevent delays, resolve issues early, and support consistent load execution.
