Responsibilities The Leave and Accommodation Specialist is responsible for managing the company's leave and accommodation process and policies in conjunction with third-party providers. This includes compliance with leave policies, the Americans with Disabilities Act (ADA), and all federal, state, and municipal laws and requirements. The role also involves being the primary contact for accommodation requests requiring internal review and analysis with managers, HR business partners, and employees submitted by third-party providers. Duties: Manage leave of absence (STD, LOA, FMLA, Workers' Comp, etc.) and accommodation (medical and religious) cases in partnership with third-party providers, where applicable. Ensure administration of leave (STD, LOA, FMLA, ADA, Workers' Comp, etc.) by third-party providers is done properly and timely in accordance with pre-determined service levels by conducting regular audits and assessments of their work and stakeholder feedback. Provide feedback to vendors to continuously improve the employee experience while ensuring business outcomes are achieved (i.e., reducing employee time away from work, delivering exceptional employee experiences, etc.). Serve as the point of contact for escalated absence and accommodation cases for all employees of the organization. Ensure accurate tracking and handling of all aspects of employee leave and accommodation cases from beginning to end (i.e., tracking logs, HRIS, time keeping systems, electronic files, process, etc.) to ensure case management and the interactive process meets and/or exceeds regulatory requirements and organizational policies. Identify risk levels in case management by utilizing ADA subject matter expertise and stay abreast of the regulatory environment. Escalate within various levels of leadership and Legal, when appropriate. Develop and update the various communications used by third-party providers in the leave and accommodation space to ensure the required information employees need to be informed of is included. Identify areas of opportunity and address gaps/issues with third-party providers. Identify and develop innovative suggestions to improve efficiency, effectiveness, internal controls, and/or customer service in the leave and accommodation area. Lead and manage projects related to process improvement, vendor administration, etc. Serve as subject matter expert on organizational leave and accommodation policies. Make recommendations for policy and procedural changes and execute approved changes. Train employees, people leaders, and human resources on updates to organizational leave and accommodation policies, processes, and state/federal leave laws. Participate in quarterly reviews with workers' comp carriers and the organization's Risk Management team. Maintain current knowledge of the ever changing federal, state, and municipal leave and accommodation landscape to ensure the organization remains in compliance. Incorporate compliance policies, procedures, and regulations into execution of day-to-day LOA and ADA responsibilities. Develop leave and accommodation SOPs and ensure active SOPs remain up to date. Ensure daily work aligns and follows established SOPs. Develop, generate, and present reports on a regular basis to analyze leave and accommodation data and trends. Adhere to and participate in organizational Business Ethics and Compliance programs/practices. Research and validate accuracy/facts of related leave/disability issues for external clients (vendors, attorneys, legal representatives) and internal stakeholders. Exercise discretionary judgement and critical assessment skills when reviewing, analyzing, and facilitating internal stakeholder collaboration for leave, accommodation, and workers' comp requests. Strong business acumen with a focus on providing world class internal and external experience. Promote teamwork through open, honest and constructive communications at all levels. Support and comply with the organization's Quality Management System policies and procedures. Maintain regular and reliable attendance. Ability to act with an inclusion mindset and model these behaviors for the organization. Ability to work on a mobile device, tablet, or in front of a computer screen and/or perform typing for approximately 90% of a typical working day. Ability and means to travel between local locations. Ability to travel 5% of working time away from work location, may include overnight/weekend travel.
