We are seeking a detail-oriented and reliable Administrative Support Specialist to assist with managing and processing communications related to workers' compensation cases. The ideal candidate will have a background in physical therapy or a related field and be able to accurately categorize and document therapy-related files. This role primarily involves written communication, so strong attention to detail and proficiency in English is essential. The successful candidate will work closely with our team to ensure the timely processing of daily communications from therapy providers. Key Responsibilities: Receive and process daily communications (via fax or email) from therapy providers, including evaluation notes, daily notes, and attendance updates. Review documents, identify relevant information, and categorize them accurately within our CRM system. Upload documents into the system to ensure the clinical team has access to accurate and up-to-date information. Maintain an organized workflow to avoid backlogs and ensure timely document processing. Communicate effectively with the team to clarify any document discrepancies or challenges. Adhere to established guidelines for document management and patient confidentiality. Assist with ongoing process improvements to increase efficiency in document handling and categorization. Requirements: Experience: Previous experience in administrative or support roles within healthcare, preferably with exposure to physical therapy or workers' compensation cases. Language Proficiency: Upper intermediate or higher level of English (both written and reading comprehension), as this role involves significant written communication. (B2+) Attention to Detail: Ability to identify and accurately categorize documents, ensuring correct information is processed and entered into the system. Communication Skills: Strong written communication skills, with the ability to understand and interpret medical or therapy-related documents.
