We are looking for a proactive and organized Administrative & Operations Assistant to support the daily administrative and operational functions of the company. This role is key in ensuring that the office runs smoothly, government-related errands are completed on time, services and vendors are managed efficiently, and basic financial and administrative processes are properly executed. Key Responsibilities: Administrative & Operational Support Handle day-to-day administrative tasks such as document filing, scanning, and logistics coordination. Manage errands to external agencies (e.g., SAT, IMSS, banks, notaries) to file documents, make payments, or obtain certifications. Office & Facilities Management Oversee office space needs including cleanliness, maintenance, supplies, and utilities. Serve as the point of contact for service providers Ensure vendors and services are contracted, renewed, or terminated in a timely and compliant manner. Procurement & Vendor Coordination Source and manage providers for office supplies, repairs, and services. Request and evaluate quotes, coordinate purchases, and maintain proper documentation. Finance & Compliance Support Assist with making in-person or online payments to government institutions or vendors. Support the Finance or Accounting team with organizing accounts payable documents (invoices, receipts, payment proofs). Ensure all official documents are delivered to appropriate areas and follow up on required signatures or approvals. Qualifications: High school diploma or university degree in progress in Administration or related field. 1–3 years of experience in an administrative, operational, or office support role. Familiarity with basic accounting or administrative processes. Comfortable visiting government offices and handling official procedures (SAT, IMSS, etc.). Strong organizational skills and attention to detail. Proactive and trustworthy with a high sense of responsibility. Basic proficiency in Excel and Google Workspace. Good English level (spoken and written) for cross-functional communication and documentation.
